A month-close review your team can repeat
What to check at calculate, approve, pay and close, without losing the audit trail.
1. Establish the period
Choose the reporting month and currency. Identify late receipts and confirm the cut-off. Do not mix currencies without a documented conversion rate and date.
2. Reconcile receipts
Compare confirmed tenant payments with bank entries. Resolve duplicates and unmatched lines. A tenant-reported payment is not a confirmed receipt until staff verify it.
3. Calculate settlements
Use the fee agreement version in force for the period. Confirm whether the agreed fee basis is rent billed or rent collected. Review approved repairs and any other authorised deductions. Keep client money separate from agency revenue.
4. Approve
A reviewer should compare the proposed owner statement with receipts, fees and deductions. Resolve disputed charges before approving. Check co-owner shares and payment instructions through a trusted process.
5. Pay and reconcile
Record each permitted payout and compare the payments with the bank. Do not treat a prepared statement as evidence that the money has been paid.
6. Close
Close only after the reconciliations and reviews are complete. Preserve the statement and supporting documents. If a correction is needed, use an authorised reopening or journal reversal, not deletion.

The month-close screens organise these stages. Currency revaluation and co-owner payouts use controlled accounting actions. Confirm your organisation’s period policy with its accountant.
