Clean your property data before importing it

A preparation checklist for properties, units, contacts and leases.

Start with an inventory List the spreadsheets and owners of each file. Pick a single agreed source for each field. Save an untouched copy before cleaning. Properties and units Give each property a stable name and address. Keep unit labels consistent: Shop 01 and Shop 1 should not become separate units accidentally. Check branch assignments, use, status and map coordinates. People and leases Separate contact types from names. Remove unnecessary personal information. Check for duplicate email addresses or phone numbers, but do not assume two people with the same surname are one client. Verify which tenant occupies each unit and record lease dates, rent and currency explicitly. Money Do not infer payments from an invoice balance. Preserve receipt dates, references and amounts. Reconcile the opening position before importing historical transactions. Import in small batches Preview column mapping and validate a few rows first. Review the import history immediately after applying the batch. Undo is a recovery tool, not a substitute for checking linked records and attachments. PropertyFlow currently supports the documented CSV workflows. Export a spreadsheet to CSV when necessary, checking dates and leading zeros before upload. Written by PropertyFlow, 4 November 2026.
